  • Zoom - Virtual session hosting (encrypted sessions)

  • PayPal - Secure payment processing

  • Email service provider (to be implemented) - Newsletter and email communication

These service providers have access to your information only to perform specific tasks on our behalf and are obligated to protect your information. In accordance with ICF Standard 2.5, I am responsible for understanding the privacy and confidentiality policies of all technology platforms and tools I use.

We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., court orders, subpoenas).

We may disclose information to:

Professional Consultation & Supervision

In limited circumstances, I may consult with supervisors, professional colleagues, mentor coaches, or legal advisors about client situations as part of my professional development and pursuit of ICF certification. In such cases, your identity is kept confidential unless disclosure is legally or ethically required. This aligns with ICF ethical standards for professional development and supervision.

Client Session Confidentiality

Confidentiality is foundational to the coaching relationship. In accordance with ICF Code of Ethics Standards 2.1 and 2.3, your session content is maintained at the strictest levels of confidentiality and will not be shared except in the following legally or ethically required circumstances:

Confidentiality Will Be Maintained Except When:

  • You provide written consent for information to be shared

  • There is imminent risk of serious harm to yourself or others

  • Suspected abuse or neglect of a child, elder, or dependent adult

  • A court order or subpoena requires disclosure

  • Professional consultation for supervision purposes (identity protected, in accordance with ICF guidelines)

Our Coaching Agreement

All confidentiality considerations are addressed, clarified, and agreed upon in our coaching agreement before services begin, consistent with ICF Standard 1.1. This agreement clearly establishes:

  • The nature and limits of confidentiality

  • Roles and responsibilities

  • What information (if any) may be shared and with whom

  • Financial arrangements

  • Other aspects of the coaching engagement

Please note: Resilience coaching is not psychotherapy or licensed mental health services, and therefore does not carry the same legal protections as licensed mental health treatment. However, I am committed to maintaining confidentiality in accordance with ICF ethical standards and professional coaching ethics.

Data Security

In accordance with ICF Code of Ethics Standard 2.4, I maintain, store, and dispose of any records, including electronic files and communications, in a manner that promotes confidentiality, security, and privacy.

Security measures include:

  • Encrypted Zoom sessions for all virtual coaching

  • Secure third-party service providers with encryption

Technology & Platform Security: Consistent with ICF Standard 2.5, I take responsibility for understanding and properly using all technology platforms and tools, including awareness of how ethical standards apply to technology-assisted coaching services.

However, please note:

  • No method of transmission over the internet is 100% secure

  • We cannot guarantee absolute security of your information

  • You are responsible for maintaining the confidentiality of your account passwords

  • Please avoid sharing sensitive personal information via unencrypted email

Data Retention

In accordance with professional coaching standards and legal requirements:

Client Records: Maintained for 5 years from the date of last service, then securely disposed of

  • Active client records: Retained for duration of our working relationship plus 5 years

  • Session notes and coaching agreements: 5 years

  • This timeframe aligns with professional practice standards and allows for continuity of care

Newsletter Subscribers: Until you unsubscribe

Payment Records: 7 years (as required by tax and financial regulations)

Website Usage Data: 12-24 months

You may request deletion of your personal information at any time (see "Your Rights" below), subject to legal and professional record-keeping requirements.
